This is an exciting opportunity to work for a well-established global private equity firm which has many offices over three different continents. The client is looking for a hard-working and detail-oriented Executive Assistant to support a Vice President who is new to the company as well as two other senior professionals. The role:

The role requires a high level of English as that will be the main language you would be using, as well as French. Largely consisting of managing diaries and arranging frequent international travel, the role is a classic Executive Assistant position that would suit someone who enjoys organisation and helping others. A certain amount of flexibility is also needed regarding working hours; there may be occasions where you need to work late, however, there is also some flexibility around the start of the workday and, if you do need to work overtime, you would be compensated accordingly.

Your duties would include, but not be limited to:

  • Proactive planning and managing two busy diaries with the ability to make quick decisions and react with urgency when necessary, ensuring their time is used efficiently and effectively.
  • Delivery of complex travel arrangements, including but not limited to hotels, transfers, flight bookings, detailed itineraries, visas etc.
  • Organising complex calls/meetings/across different time zones.
  • Processing business expenses and providing full business administrative support.
  • Handling confidential and delicate information with integrity and discretion.
  • Accurate data entry onto technology platforms as required.
  • Drafting, editing and proofing presentations as required.
  • Coordinating with core internal departments to ensure that events, bookings, and complex meetings run smoothly.
  • Helping out with the welcoming of guests and visitors.

 

The candidate:

For this role, you should have experience as an Executive Assistant managing busy diaries and organising travel. You also need to have excellent oral and written communication skills in both English and French and be able to work in an organised and efficient manner in a fast-changing and busy environment. You need to be adaptable and be good at problem-solving and reacting quickly.

As well as this, you should have the following skills:

  • Exceptional communication skills and the ability to operate at all levels of the organisation.
  • Ability to deal with last minute changes
  • Hands-on, hardworking and personable demeanour.
  • Loyal and dedicated, professional and an ambassador for the business.
  • Extremely organised and responsive to the needs of the team, with the ability to pre-empt needs.
  • Strong problem-solving capacity.
  • Collaborative and collegiate and ability to work within the global EA team.
  • Capable of working under pressure to meet tight deadlines whilst maintaining a high level of accuracy and professionalism.
  • Ability to multitask and highly effective in prioritising.
  • Resilience and positivity; prepared to go the extra mile in order to deliver on time and in an efficient manner.
