We have an amazing PA Cover and Operations Assistant role working at a lovely PE firm based in St James’s.

The Client

They are a global private equity firm with London offices based in the heart of St James’s. Internationally they are one of the oldest private equity firms so you would be joining a firm with a phenomenal and prestigious reputation. They have around 45 people in the London office which means that they have managed to retain that family-feel environment. There are around 14 administrators in the team, which includes 12 PAs and they are all friendly, excellent at their job and working collaboratively is the main requirement here. The PA culture of this firm is that everyone is a team player. They are a really wonderful group of EAs, experienced, and supportive and they all have long tenure her. 

The Role

  • This is a newly created role which will provide PA cover due to holiday or sickness and support to the Head of Office & Administration Services with office management, operations and facilities. It’s will be a hugely varied role with lots of scope to take on projects, work across teams and get involved in the business. 
  • Provide holiday and absence cover for other PAs (approx. 9 in total) – complex calendars, managing emails, screening calls, arranging complex last-minute international and domestic travel, preparing reports, presentations, documents, prepare board documentation, supporting in events, building strong relationships with external clients, their PA’s and staff, interact well with the team, managing professional correspondence, gift-giving.
  • Assist in all day-to-day administrative functions providing organisational and time management structure to increase the efficiency of the professional supported.
  • Serve as professional’s point person and strategic partner, acting on his/her behalf on business and project matters, as required.
  • Support the Head of Office & Administration Services with facilities and office management related work: examples include: office refurbishment and relocation projects, ad-hoc desk moves and office restacks, dealing with general maintenance requests – actioning and monitoring, support with contract renewals and supplier management
  • Handle designated projects: examples of assignments include: planning conferences, events and dinners, both internal and offsite, support with legal and compliance

The Person

To be successful here, you need to have a muck in attitude and a willingness to support your fellow PAs. This is a very corporate and traditional office; they value people who have excellent skills and show genuine warmth and humility when going about their day job. The PAs tend to stay here for a long period of time as they are all well looked after and highly regarded amongst the investment professionals.

  • Minimum 5 years PA experience at senior management level
  • Able to work extended hours as needed
  • Advanced Microsoft Office skills
  • Excellent communication and interpersonal skills
  • Handle multiple priorities simultaneously, with quality results
  • Excellent organisational skills; impeccable attention to detail
  • Resourceful, proactive approach – ability to stay one step ahead
  • Work within tight deadlines
  • Demonstrated ability to function as a strategic partner, while remaining professional under pressure; quality decision making and problem-solving skills are key
  • Adaptable, flexible, dependable, and accountable
  • Be supportive to the wider administrative team


  • Flexible working: 2 days working from home
  • Core hours 9am-6pm
  • Free lunch – £8 per day loaded onto a lunch card to be used wherever you want
  • 10% pension (non-contributory) This increases to 12% after 3 years and 15% after 7 years
