We have taken on a great role with one of our international clients to find them an Executive Assistant/Office Manager for their Paris office. The company is very well established and has a lovely culture where everyone is truly valued. Their Paris office is on the smaller side and is shared with one of their portfolio companies so you would be supporting 5 people in total, focussing on our client’s Managing Director and the portfolio company’s CEO, as well as keeping the office running smoothly.
This is a busy role handling office management and supporting two busy individuals as well as the three other members of the team in the Paris office. The team is fairly self-sufficient, but you would be the only support staff in the office so would be keeping everything running smoothly and be the main point of contact. The Paris office works closely with the London office so you would be interacting with the team there often which is why fluent French and English are needed. You would also have one day working from home per week but should be prepared to be in the office if needed.
Your duties will include but not limited to:
- Office management
- Welcoming guests and clients
- Liaising with senior members of the company
- Diary management
- Frequent travel arrangements
- Managing expenses
- Managing invoices
- Handling legal documents
- Arranging team lunches and external events
- Ad hoc projects and administrative tasks
The ideal candidate for this role would have experience as an Assistant and with office management and would be able to hit the ground running supporting the team. As well as being bilingual, they should have great communication skills and be able to adapt to the different working styles of the team.
On top of that, you should have the following traits:
- Experience in Financial Services
- Bilingual in French and English
- Able to work independently
- Strong communication skills
- Positive and proactive attitude
