Estate Manager

The Client 

Our client, a private family office, is seeking an experienced Property Manager to oversee a portfolio of luxury residential properties across multiple locations. This newly created position will provide strategic oversight, operational excellence, and long-term planning for an established residential portfolio while partnering closely with a collaborative team supporting the principals and their properties.

The Role

The Property Manager will oversee the day-to-day operations, maintenance, vendor relationships, construction projects, budgeting, and overall stewardship of a luxury residential property portfolio. This individual will serve as the primary point of contact for all property-related matters, ensuring residences are maintained to exceptional standards while proactively managing projects, systems, and long-term property needs.

The ideal candidate is a hands-on yet strategic professional with experience managing high-value residences, overseeing capital projects, and implementing processes that enhance operational efficiency across a complex portfolio.

Responsibilities:

  • Oversee the day-to-day management and maintenance of a portfolio of luxury residential properties

  • Develop and execute preventative maintenance plans to ensure properties are maintained to exceptional standards

  • Manage all vendor, contractor, and service provider relationships, including contract negotiations and performance oversight

  • Lead renovation, construction, and capital improvement projects from planning through completion

  • Create and manage property budgets, monitor expenses, and identify cost-saving opportunities

  • Oversee insurance, compliance, permits, inspections, and overall risk management across the portfolio

  • Respond to and resolve property-related issues, repairs, and emergencies as needed

  • Implement systems, processes, and reporting tools to improve operational efficiency and portfolio oversight

  • Maintain detailed property records, maintenance schedules, warranties, and operational documentation

  • Collaborate closely with household staff, administrative teams, and key stakeholders while providing regular updates and strategic recommendations

The Candidate

  • 8+ years of luxury residential, estate, or property management experience

  • Proven experience managing complex, multi-property residential portfolios

  • Strong background overseeing renovations, construction, and capital improvement projects

  • Expertise in vendor management, contract negotiations, and service provider oversight

  • Experience with budgeting, financial management, and expense forecasting

  • Knowledge of residential construction, building systems, preventative maintenance, and risk management

  • Family office, private office, or UHNW principal support experience preferred

  • Strong organizational, project management, communication, and problem-solving skills

  • Ability to maintain complete discretion, professionalism, and confidentiality

  • Self-starter with the ability to anticipate needs, manage competing priorities, and travel as needed to support the portfolio

Compensation & Benefits

  • Location: Brooklyn, NY (on-site)

  • Schedule: Full-time

  • Regular travel required

  • $200,000-$250,000 base salary
