Our client is a growing investment firm seeking a
Junior Team Assistant
to join their New York office. This is an exciting opportunity to join a collaborative team in a highly visible role that offers exposure to office operations, administrative support, HR coordination, and special projects. The firm is looking for someone eager to learn, contribute, and grow alongside the business.Role
The Junior Team Assistant will serve as a key support resource across the office, acting as a welcoming presence for visitors while providing administrative support to multiple teams and stakeholders. This is a true floating support role with responsibilities spanning reception, office management, HR administration, travel coordination, expense management, and project support.
The ideal candidate is proactive, organized, service-oriented, and enjoys being involved in a variety of responsibilities throughout the day.
Responsibilities
Welcome guests and ensure a professional and seamless visitor experience
Coordinate meeting rooms, catering, refreshments, and visitor logistics
Liaise with building management and assist with day-to-day office operations
Maintain office, kitchen, and supply inventory
Support onboarding and offboarding administration
Manage calendars and scheduling across multiple time zones
Coordinate domestic and international travel arrangements
Process expenses and assist with travel policy compliance
Provide administrative support to senior professionals and broader teams
Assist with ad hoc projects and business initiatives
Identify opportunities to improve processes and efficiencies
Handle confidential and sensitive information with discretion
Candidate
Previous experience as a Team Assistant, Administrative Assistant, Receptionist, Office Coordinator, or similar support role
Financial services experience preferred
Strong organizational, communication, and problem-solving skills with exceptional attention to detail
Proficiency in Microsoft Office, including Outlook
Ability to manage multiple priorities and work independently in a fast-paced environment
Experience supporting multiple stakeholders and coordinating travel, calendars, and expenses preferred
Experience with Concur or similar expense management systems is a plus
Professional, discreet, proactive, and highly organized with a collaborative, can-do attitude
Adaptable, polished, and eager to learn and grow within a dynamic environment
