We are looking for a superstar office assistant who will be a hands on, first point of contact, making both clients and the team feel well looked after.


The Company

Based near Piccadilly Circus, they are small investment advisory firm (80 globally, 35 people in London) who pride themselves on operating with a really collaborative, flat structure. They are quite a young team, the Partners sit in the office with everyone else, they work hard but are very well rewarded for it. As well as incredibly generous bonuses there is also an annual off-site for the whole company – this year is Barcelona, previously they have gone to Italy, Bermuda, Greece…


The Role

There will always be lots to get involved with and someone proactive will be able to carve out a great role for themselves. Hours are 8-6pm and this is an office based role. The team are brilliant and it is testament to the positive culture (and probably the potential for excellent bonuses) that means there is a slow staff turnover. 

Core Responsibilities:

• Answering telephones, liaising with reception and meeting and greeting clients

• Prepare monthly stationary, refreshments and coffee orders to place

• Communicate directly with clients on fundraise activity, roadshows and marketing materials and provide strategic Management of staff lunch order system and client refreshments

• Manage upkeep and orderly presentation of office areas

• Assist with research and planning of all social functions – both client and staff

• Assist with set up of all IT equipment – mobiles, laptops, etc

• Assist team with travel bookings where necessary

• Maintain and co-ordinate the conference room calendar

• Assisting the EA, Office Coordinator and Partners where required


The Person

The role will suit someone who has a natural eye for detail and for whom it would be second nature to make sure the kitchen is fully stocked, meeting rooms and the office in general looks tidy and those parts don’t even seem like work! There would also be answering calls, welcoming clients, managing all weekly/monthly orders etc.

Additionally you would be getting involved in research and planning for all social functions – internal and for clients, assisting with any IT set-up, travel bookings and managing the meeting room diary on a daily basis as well as overflow EA work.
