Office Manager/Team Assistant – Part Time


(approx. 25 hours per week)

Private Equity Firm – soon to be centrally located Frankfurt office

Are you looking for a varied and hands-on part time Office Manager/Team Assistant position which will work in with your personal circumstances? Do you possess fluent German and professional level English, and want to take on the next challenge to develop your career by working in a well-established private equity firm?

Our client is seeking an Office Manager/Team Assistant with a strong service mentality, to join their team on a permanent part-time basis. In this role, you will be reporting into brilliant Partners and working closely with the Senior Office Manager.

This is an excellent opportunity for someone with 3-5 years relevant experience in a similar position who has worked in an international financial/professional services environment. It is a fantastic time to join this firm which is taking on exciting new strategic partnerships.


  • Supporting the team with administrative duties
  • Acting as the trusted contact person for the office
  • Scheduling appointments for Partners and the investment team
  • Travel planning and processing travel expenses
  • Supporting the organization of the firm’s annual investor conference, acting as the first point of contact for investors
  • Planning of the firm’s internal events
  • Coordinating internal meetings
  • Dealing with correspondence in German or English language
  • Researching and preparing information for presentations
  • Maintaining the CRM system
  • Preparing conference and meeting rooms
  • Meeting and greeting visitors to the office
  • Arranging office supplies and equipment
  • Managing the telephone switchboard and being the first point of contact
  • Mail processing and distribution
  • Providing IT and systems support
  • Creating reports and recording of data


An ideal candidate for this role will be a highly motivated, adaptable, and organised team-player, who is able to adapt and perform well in a fast-paced environment, whilst also possessing the following skills/experience:

  • Fluent in both written and spoken German, and professional level English
  • Excellent organisational and problem-solving skills
  • Strong digital/IT skills
  • Strong service mindset
  • Experienced working in an international financial or professional services environment, or from an international hotel background
  • Have a professional, committed attitude and approach
