We have a great opportunity for a receptionist to join a global real estate investment firm based in Mayfair.

The Company

The company has over 200 employees globally, with offices based across America and Europe and 60 based in the London office. They are down to earth and value all members of the team, the average tenure of their 7 member support staff admin team is 6 years. Although it’s a fast-paced and high pressure environment, it’s a really pleasant, friendly place to work.

The Role

The Receptionist will report to the Head of Administration. The role is to provide a front of house reception service together with general administrative and office facilities support, as required. Working hours: 08:45 to 17:30 Monday to Friday.

The key responsibilities include:


Represent the company in a pleasant, service minded manner, creating a good first impression

Answer incoming calls and handle caller’s inquiries whenever possible, redirect as appropriate and

pass on messages promptly

Maintain and manage the meeting room schedule

Greet and assist visitors to the London office and provide refreshments

Maintain the appearance of the public areas – the meeting rooms, reception area and kitchens (keeping them clear of clutter and tidying)

Set up and replenish the drink stations and coffee machines

Receive and distribute mail and deliveries

Be responsible for outgoing mail and couriers

Order catering/deliveries for breakfast and lunch meetings when required

Monitor, maintain and order office and kitchen supplies, including stationery and newspaper, magazine subscriptions

Book restaurants, taxies, catering, etc as and when required

Run errands and carry out other duties, as and when required


Administrative support, when required:

Coordinate internal and external meetings and arrange conference calls

Printing and binding

General support and assistance to the team, including expense reports, maintaining contact lists

and databases, filing etc

Assist other administration staff including EAs/Team Assistants and with office facilities as and

when required, such as office socials and events.

Where necessary, make travel arrangements such as booking flights, accommodation, cars for

property tours etc


The Person

The ideal person will have 1 year’s experience in a customer or client facing role. They will be a true team player who is presentable, personable, sharp, resourceful and service minded. This is a busy role so you need to be able to work under pressure and in a fast-paced environment while maintaining great attention to detail and being able to prioritise and multitask.
